Event Coordinator
vent Coordinators bring the community together through hands-on planning and collaboration. From family support days to major community gatherings, they’re the glue that holds it all together — and right now, we need help coordinating several upcoming events, including Holiday Festival, Donor Gal, Earth Day Festival, and more.
This role is perfect for organized, outgoing volunteers who enjoy working with people and want to see their efforts come to life through real community impact.
Core Responsibilities
To plan and coordinate Core community events that strengthen connection, provide family support, and celebrate local volunteers. Event Coordinators ensure every event — big or small — runs smoothly from planning through cleanup.
- Plan event logistics, setup, and volunteer scheduling.
- Coordinate with partners, vendors, and sponsors for supplies or donations.
- Communicate event details and needs to the Program Director and Impact Director.
- Manage volunteer sign-ups, assignments, and check-ins during events.
- Track attendance, materials used, and outcomes in HubSpot.
- Oversee setup, operations, and cleanup on event day.
- Capture event photos, feedback, and stories for future promotions.

- Comfortable managing people and solving problems on the fly.
Tools & Systems Used
- HubSpot CRM (Events, Tickets, and Volunteer Sign-Ups)
- Google Sheets / Slack for coordination
- Core of Volunteers Event Planning Documents.
Reporting Structure
- Reports to: Program Director
- Collaborates with: Impact Director, Event Director, Marketing Team, and Core Volunteer Leads
Time Commitment
- At least 5–10 hours per event cycle
- Extra time may be needed the week of each event
Key Outcomes
- Core events like Trunk-O-Treat, Cookies with Santa, and Texas Unity Festival run smoothly and on schedule.
- Volunteers feel supported and prepared for their roles.
- Partner and community engagement grows through well-organized events.
Advancement Path
Event Coordinators who demonstrate reliability and leadership may advance to Event Director or Program Manager, leading multi-event teams and larger partnerships across regions.
